This policy explains what TrainU collects, why, and who we share it with. It covers the TrainU website, the TrainU mobile app, and the TrainU Leagues organizer tools. Questions or requests: support@trytrainu.com.

Who we are

TrainU is a marketplace that connects athletes and their parents with independent sports trainers, and provides tools for organizations running leagues and events. “We” and “TrainU” refer to TrainU Sports Institute.

Information we collect

We collect the following, depending on how you use TrainU:

  • Account information. Your name, email address, date of birth, and profile photo, provided when you create an account. We ask for your date of birth to confirm you are 18 or older, which our Terms of Service require in order to hold an account. We do not show it to other users, and it is never part of a public trainer profile.
  • Profile information. Whether you are an athlete or a trainer, your sport, city, state, ZIP code, languages, time zone, and any biography or intro video you choose to add.
  • Managed athlete profiles. If you are a parent or legal guardian, the information you enter about each athlete you add to your account. This is information about a child, and you supply it — we do not collect it from the child. See Children and managed athletes below for exactly what it is, who can see it, and how to remove it.
  • Location.Approximate coordinates used to show trainers near you, derived from the ZIP code on your profile. If you grant permission, the app can instead use your device’s location for a more precise result. Location access is optional, is only requested while you are using the app, and you can revoke it at any time in your device settings.
  • Bookings and activity. Sessions you book or schedule, session credits and packages, subscriptions, reviews, and league registrations.
  • Messages. Direct messages you exchange with trainers or athletes through the app.
  • Payment information. Payments are processed by Stripe. We never receive or store your full card number. We store identifiers that let us associate a payment with your account, along with amounts, status, and refunds.
  • Device information. If you enable notifications, a push token for your device so we can deliver them.

How we use information

  • To operate the service — creating your account, showing relevant trainers, scheduling sessions, and processing payments and refunds.
  • To communicate with you — booking confirmations, receipts, session reminders, payment failures, and messages from the people you train with.
  • To keep TrainU safe — preventing fraud and abuse, and enforcing our Terms.
  • To improve the product — understanding which features are used so we can make them better.

We do not sell your personal information, and we do not use your messages or training activity to target advertising.

Service providers we share with

We share information with vendors who process it on our behalf, only as needed to run TrainU:

  • Clerk — account sign-in and identity.
  • Convex — application database and backend.
  • Stripe— payment processing and trainer payouts. Trainers who accept payments complete Stripe’s onboarding and provide identity and bank details directly to Stripe.
  • Mux — hosting and streaming trainer intro videos.
  • Expo — delivering push notifications to your device.
  • Cloudflare — sending transactional email, and DNS.
  • Vercel — hosting the TrainU website.
  • Zippopotam.us — converting a ZIP code into approximate coordinates. Only the ZIP code is sent.

We may also disclose information if required by law, or to protect the rights and safety of our users. If TrainU is involved in a merger or acquisition, information may transfer as part of that transaction.

Children and managed athletes

TrainU supports youth sports, and sessions may be offered for age groups that include children. Accounts are for adults, and a child never gets a login. A parent or legal guardian holds the account, adds each child to it as a managed athlete, and books on their behalf. A managed athlete cannot sign in, does not appear in search or on public profile pages, and cannot be messaged directly — messages about them go to their guardian.

What we collect, and who gives it to us. Everything we hold about a managed athlete is entered by their parent or guardian. We do not collect it from the child, and the child has no way to give it to us. When you add an athlete you provide:

  • Their first name and date of birth. These are required — the date of birth is what tells a trainer the athlete’s age.
  • Their last name, sport or sports, and skill level, if you want to add them.
  • A photo, if you choose to add one.
  • An emergency contact name and phone number.
  • Allergy or medical notes you want a trainer to have during a session.

Everything after the first item is optional, and you can change or clear any of it later. We also record the sessions you book for each athlete and their attendance, the same way we would for an adult athlete.

Consent.Before you can add an athlete, you must confirm in your account settings that you are 18 or older and are the parent or legal guardian of the athletes you add. We capture your consent at the moment you add the child — the point at which information about them is actually collected, rather than at signup — and we store the time you consented and the version of the consent text you agreed to on that athlete’s record.

Who can see it.A managed athlete’s record belongs to the guardian who created it. Beyond that:

  • Trainers you book withsee the athlete’s first name and last initial on the roster for the session you booked, and their age. A trainer never receives a minor’s full surname.
  • The emergency contact and medical notes are hidden by default. A trainer can reveal them only for an athlete they have a paid, confirmed or completed booking with, and only by explicitly asking for them. A complimentary seat a trainer adds themselves does not qualify, and a trainer you have blocked cannot reveal anything.
  • No one else. Other parents, athletes, and trainers you have not booked with cannot see a managed athlete at all — the profile is excluded from search and cannot be looked up.

Every reveal is logged.Each time a trainer reveals an athlete’s emergency contact or medical notes, we record who looked, which booking justified it, and when. That log is part of your family record, and you can ask us for it — along with everything else we hold about your athletes — by emailing support@trytrainu.com.

Removing an athlete. You can remove an athlete from your account once their upcoming sessions are cancelled or finished. Removing them clears the emergency contact and medical notes immediately and takes them off every waitlist, and they can no longer be booked. You can then ask us to purge the record, which deletes the date of birth, sport and skill level, the photo, and the remaining safety fields, and reduces the name to a single initial. What survives is an anonymous record that past bookings, payments, and refunds still point at, so those financial records — which we are required to keep — continue to reconcile.

We do not use a managed athlete’s information for advertising, and we do not sell it. We do not knowingly collect personal information from a child directly. If you believe a child has given us information without their parent or guardian’s involvement, contact support@trytrainu.com and we will delete it.

Communications you can control

Push notifications can be turned off in your device settings, and we remove your device token when you sign out. Some email is transactional — receipts, refunds, and payment failures — and is sent because it is a record of a transaction you made rather than marketing. If we introduce promotional email, it will include an unsubscribe link.

Retention

We keep your information while your account is active. Records tied to payments, refunds, and tax obligations are retained as long as required by law, which may be longer than your account.

After you delete your account, we hold an anonymised copy of the record for up to 180 days in case you contact us to have it restored, and then permanently remove it. The copy is not searchable, is not visible to other users, and cannot be used to sign in.

Deleting your account

You can delete your account at any time from inside the app: open Account from the profile button on the home screen, then choose Delete Account. You do not need to contact us, and there is nothing to settle first.

Deletion is immediate and permanent. You are signed out, you cannot sign back in, and your profile stops appearing in search, in messages, and in any trainer’s client list. We then handle the rest automatically on your behalf: active training plans are cancelled so you are not charged again, upcoming sessions are cancelled and refunded to the original payment method, and any athletes you manage are removed along with you. If you coach on TrainU, your upcoming sessions are cancelled and every athlete booked with you is refunded automatically — you are not asked to do that yourself.

What we keep is the payment and tax record we are legally required to keep. It is anonymised, so it no longer identifies you.

Your rights

The fastest route to deletion is in the app — see Deleting your account above. If you no longer have access to the app, or you want a copy of your data or a correction rather than deletion, email support@trytrainu.com. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA, including the right to object to certain processing or to receive a copy of your data. We will not discriminate against you for exercising them.

A parent or legal guardian can exercise all of these on behalf of an athlete they manage, including asking for the record of who has viewed that athlete’s safety information. See Children and managed athletes above.

Some information cannot be deleted on request — for example, records we must keep for financial or legal reasons.

Security

We use encryption in transit, restrict internal access, and rely on established providers for payments and authentication. No online service can be completely secure, so we cannot guarantee absolute security.

Changes

We will update this page when our practices change and revise the date above. Material changes will be communicated in the app or by email.
